Practice Manager / Office Manager – Chiropractic & Wellness.

Full-Time | 40 Hours/Week | Immediate Opening | Long-Term Opportunity.

Starting at $26/hour — higher starting compensation available based on directly relevant experience.

We are a busy, established, family-focused chiropractic and wellness practice seeking an exceptional Practice Manager / Office Manager to become a key long-term member of our team.

This is not simply a front-desk position.

We are looking for someone who can grow into taking ownership of the day-to-day operations of the practice, lead and support our team, solve problems, keep systems organized, monitor patient scheduling and retention, and make sure important details do not fall through the cracks.

Our current Practice Manager has been with us for approximately 10 years, which provides an opportunity for transition and training with someone who knows the practice extremely well.

This is a busy healthcare environment with multiple systems, competing priorities and a significant learning curve.

We provide training, but we’re looking for someone who learns quickly, retains information, takes initiative and becomes increasingly independent.

When something isn’t working—whether it’s a scheduling problem, an insurance issue, a staff issue, a computer problem, phones or internet—you don’t simply report the problem. You take ownership, investigate it, find the appropriate resource and follow through until it is resolved.

If you enjoy organizing, troubleshooting, improving systems and being the person who helps keep an office running smoothly, you may be an excellent fit.

What You Will Be Responsible For:
  • Overseeing day-to-day office operations and patient flow.
  • Helping lead, train and support front-office team members.
  • Monitoring provider schedules and proactively helping keep schedules productive.
  • Overseeing patient retention, recalls, reactivation and follow-up.
  • Managing and/or overseeing insurance verification and authorizations.
  • Tracking insurance treatment requirements, re-exams and necessary follow-up.
  • Overseeing billing, claims, EOBs, collections and patient accounts.
  • Maintaining organized patient and administrative records.
  • Managing patient communication systems and electronic forms.
  • Troubleshooting day-to-day technology, phone, computer, internet and software issues and coordinating outside support when necessary.
  • Managing vendors, supplies and product inventory.
  • Maintaining HIPAA compliance and patient confidentiality.
  • Helping create and maintain SOPs, checklists and training resources.
  • Identifying inefficient processes and helping us improve and automate office systems.
  • Working closely with the doctors to ensure the practice operates smoothly.

Experience:
  • Previous healthcare-office experience is strongly preferred.
  • Medical, chiropractic, dental, physical therapy or similar practice-management experience is particularly valuable.

Experience with any of the following is a plus:
  • Healthcare office management.
  • Staff supervision and training.
  • Insurance verification and authorizations.
  • Billing, claims, EOBs and collections.
  • Patient scheduling and retention.
  • EHR/practice-management systems.
  • Microsoft 365.
  • HIPAA compliance.
  • Technology troubleshooting.
  • SOPs and workflow improvement.
  • Experience with PayDC or Review Wave/ALOHA is a plus but is not required.

We are more interested in finding someone with the intelligence, initiative, reliability, resourcefulness and ability to learn than someone who happens to know every system we currently use.

Compensation & Benefits:
  • Starting at $26/hour.
  • Higher starting compensation may be available for candidates with significant directly relevant healthcare/practice-management experience.
  • This is a 40-hour-per-week position with opportunity for compensation growth as you demonstrate your ability to take increasing ownership and responsibility within the practice.
